Dashain and Tihar Gym Offers: A Festival Season Playbook for Gym Owners

Festival season brings both a slowdown and a big opportunity. Here is how to plan Dashain and Tihar offers, keep regulars training through the holidays and win the post-festival rush.

For a gym in Nepal, the weeks from Ghatasthapana to Bhai Tika are unlike any other time of year. Students go home, offices close, families travel to their village, and the evenings fill up with tika, feasts, cards and sel roti. Attendance often drops. Then, just after Tihar, many people look in the mirror and decide it is time to get back in shape. A gym that plans for both halves of the season can come out of it stronger than it went in.

Understand the three phases of festival season

It helps to think of the season as three short phases, each with a different goal.

  • Before Dashain: members want to look good for family gatherings and photos. Motivation is high, and many are open to offers.
  • During Dashain and Tihar: attendance dips as people travel and celebrate. The goal is to keep regulars connected and avoid losing them.
  • After Tihar: people feel the effects of the feasts and want a fresh start. This is your chance to sign up new members and win back old ones.

Phase 1: Before Dashain, sell the goal

Run a short pre-festival campaign around a clear, emotional goal. People respond to "Get Dashain-ready in 30 days" far more than to a list of equipment.

  • A 30-day or 6-week challenge with a simple before-and-after check, with the member's consent.
  • A festival bundle: a longer membership with a free personal training session or a gym T-shirt.
  • A "bring a family member" offer, since many people come home to Kathmandu, Pokhara or Butwal for the holidays.
  • Early renewal for existing members whose plans end during the holidays, so they do not lapse while away.

Keep any discount simple and time-limited, with a clear end date such as Phulpati or Tihar. Offers that run forever stop feeling like offers.

Set the offer up properly before you announce it

Decide the exact price, duration and end date, and set the festival plan up in your system before you post anything online. That way the front desk sells it the same way every time, and you can see later how many people bought it. In HamroFitness, membership plans are set up in advance, so a festival plan is just another plan staff can choose at the desk.

Phase 2: During the holidays, stay in touch

Many gyms shorten their hours or close for a few days around Dashain and Tihar. Whatever you decide, tell members clearly and early.

  1. Announce your holiday hours on your social pages, on a notice at the desk and by SMS.
  2. Share a simple home or village workout that needs no equipment, so members keep moving.
  3. Post festival greetings with photos of your members and staff. This kind of post usually gets far more likes and shares than an advertisement.
  4. Run a light-hearted challenge, such as daily steps during the holidays, and announce winners after Tihar.

Remember that some members' plans will expire while they are away. Send expiry reminders before the holidays start, so renewal is not the last thing on their mind when they return.

Phase 3: After Tihar, catch the comeback

The days after Bhai Tika are one of the best times of the year to win members back. Plan for it before the festival starts, not after.

  • Run a "Detox after Tihar" or "Restart" campaign with a clear start date.
  • Message members who have not trained since before Dashain and invite them back.
  • Contact members whose plans expired in the last few months with a welcome-back renewal offer.
  • Have trainers ready with easy restart routines, because many people come back stiff and out of shape.

Attendance records make this easy. If check-ins are saved against each member, you can see exactly who has not been in since Ghatasthapana and contact them by name. Our page on gym attendance software shows how today's attendance and each member's visit history are kept.

Get the front desk ready for the rush

A festival offer can bring more joiners in a week than you normally see in a month. If your desk still uses a register and a payment notebook, mistakes multiply fast.

  • Make sure every new member is registered with a clear start and expiry date.
  • Record every payment against the membership it pays for, including part payments, whether the member pays by cash, card or a wallet like eSewa or Khalti.
  • Enrol new members on the biometric device at the desk on the day they join.
  • Check today's collection and today's due at closing time, every day of the campaign.

Measure what worked

When the season is over, look back while it is still fresh. How many people bought the festival plan? How many of them were still training a month later? How many expired members came back? A membership report for the campaign dates, exported to Excel, answers these questions in minutes and tells you what to repeat next year. It also shows something many owners miss: a cheap offer that brings people who leave after one month is worth less than a smaller offer that brings members who stay.

A festival season checklist

  • Offer, price and end date decided and set up as a plan before announcing.
  • Holiday hours announced early on social media, at the desk and by SMS.
  • Expiry reminders sent to members whose plans end during the holidays.
  • A post-Tihar comeback campaign planned in advance.
  • Front desk ready to register, enrol and record payments correctly.
  • Results reviewed with reports once the season ends.
