Gym Staff Management: Roles, Shifts and Cash Handling for Nepali Gyms

How to organise trainers and front-desk staff at your gym: clear roles, fair shifts, safe cash handling, staff logins and a daily routine that keeps the gym running when you are not there.

Most gym owners in Nepal start by doing everything themselves: opening at 5 a.m., taking payments, training members and locking up at night. As the gym grows, that stops working. You hire a receptionist, a couple of trainers and a cleaner, and suddenly you are managing people as well as a gym. The questions change. Who took that payment? Why was the gym opened late? Why does today's cash not match? This guide covers the systems that make a gym team work, even when you are not standing at the desk.

Write down clear roles

Confusion about who does what causes most staff problems. Write a short, simple list of duties for each role and share it with everyone.

Front desk

  • Greeting members and handling enquiries.
  • Registering new members and selling or renewing plans.
  • Recording payments and following up on dues.
  • Enrolling new members on the biometric device.
  • Checking the expiry list and sending reminders.
  • Selling supplements, drinks and other products, and assigning lockers.

Trainers

  • Welcoming and guiding new members in their first weeks.
  • Floor supervision, safety and correct technique.
  • Personal training sessions and classes.
  • Noting members' goals and checking on members who have stopped coming.

Manager or owner

  • Reviewing daily collection, dues and attendance.
  • Approving discounts, refunds and changes to payments.
  • Planning shifts, handling staff issues and setting targets.

Plan shifts around your busiest hours

Most Nepali gyms have two peaks: early morning before office and college, and evening after work. Midday is usually quiet. Your staff schedule should follow that pattern.

  • Put your strongest trainers on the floor at peak hours.
  • Make sure the desk is never empty when the gym is open.
  • Plan opening and closing duties clearly, including who holds the keys.
  • Prepare holiday rosters early for Dashain, Tihar and Chhath, when many staff travel home.
  • Plan for exam seasons and monsoon, when attendance patterns change.

Use your attendance data to plan. If check-ins are recorded automatically, you can see which hours and days are busiest instead of guessing. Our page on gym attendance software explains how attendance for any date range is kept.

Handle cash and payments safely

Money is where small mistakes turn into big arguments. Clear rules protect both you and your staff.

  1. Record every payment in the system at the moment it is received, against the member and their plan.
  2. Give a receipt for every payment, whether it is cash, card or a wallet such as eSewa or Khalti.
  3. At closing time, compare today's collection in the system with the cash and digital payments actually received.
  4. Allow only the owner or manager to approve discounts, refunds or edits to payments.
  5. Hand over cash to the owner or deposit it on a fixed schedule.

Our guide on managing gym payments and dues explains how to keep payment and due records clean.

Give everyone their own login

Shared logins and a single notebook make it impossible to know who did what. When each staff member has their own login, every registration and payment is linked to the person who made it. Roles and permissions let you decide what each person can see and do. For example, trainers can see member details and attendance without seeing accounts, and front-desk staff can record payments but not delete them. HamroFitness includes separate staff logins with roles and permissions for exactly this reason.

Take the door off your staff's shoulders

One of the hardest jobs at a gym desk is telling a regular member that their membership has expired and they cannot train today. Some staff avoid the conversation, and expired members keep training. With biometric door access, the system checks the membership when the member checks in. Active members go in, expired members are stopped until they renew, and staff no longer have to play security guard. See how gym access control works.

A simple daily routine for the team

  • Opening: check the floor, washrooms and equipment; make sure the biometric device and door are working.
  • Morning: look at memberships expiring soon and dues to follow up.
  • During the day: register, renew and record every payment as it happens.
  • Evening: check members who have not trained recently and message a few.
  • Closing: compare today's collection and today's due, then lock up.

Motivate and keep good staff

Good trainers and receptionists are hard to find, and members get attached to them. When a popular trainer leaves, some members may follow. A few simple practices help you keep your team:

  • Pay on time, every time.
  • Give clear goals, such as renewals followed up or new members onboarded, and recognise people who meet them.
  • Offer chances to learn: certifications, workshops or time to train themselves.
  • Listen to their ideas. Front-desk staff often know first what members are unhappy about.
  • Hold a short team meeting every week or two.

Review staff performance with real data

Instead of judging staff by feeling, look at the records. Staff reports, payments recorded, renewals made and dues collected, filtered by date range and exported to PDF or Excel, give you a fair, shared picture. Use them to praise good work and to have calm, factual conversations when something is wrong.

Run the gym even when you are away

With HamroFitness, owners can keep an eye on the gym through the same mobile app used by members, trainers and staff, while staff at the desk work with their own logins and permissions. Data is backed up to the cloud, so records do not depend on one computer. Explore the full list of features or book a free demo to see staff roles and reports in action.
