QR vs Biometric Attendance for Gyms
QR check-in is quick and low cost to start. Biometrics identify the person and can control the door. Here is how to decide, or use both.

QR attendance is the quicker and lower-cost way to start recording check-ins, because it works without extra biometric hardware. Biometric attendance identifies the person by fingerprint, face or card, which makes it harder to share and lets the device control the door directly. Many gyms start with QR and add biometrics later, and with HamroFitness both are kept in the same attendance records.
How QR attendance works
With QR attendance, members check in by scanning a QR code, and the visit is recorded against their profile the same way a biometric check-in is. There is no fingerprint reader to buy or install, so it is quick to set up. Our page on QR check-in for gyms in Nepal covers the details.
Where QR works well
- New or small gyms that want to stop using a paper register now.
- Gyms that are not ready to install biometric devices yet.
- A second check-in option during busy hours, so members do not queue at one device.
- Members whose fingerprints are hard to read.
Limits to keep in mind
A QR code identifies a code, not a person. In general, that means a code could be shared or shown by someone else, so QR is best where staff can see the entrance or where strict identity checks are not the main goal.
How biometric attendance works
Biometric attendance uses a device at the entrance that recognises the member by fingerprint or face, or by an RFID card or PIN. The member is enrolled once at the front desk, the device syncs with the gym software, and every visit after that is recorded automatically. For the full flow, see our guide on how biometric attendance works for gyms.
Where biometrics work well
- Gyms that want to be sure the person checking in is the member.
- Gyms that want the door to open only for active members.
- Busy gyms where staff cannot watch every check-in.
- Owners who want attendance that cannot easily be filled in on someone's behalf.
Limits to keep in mind
Biometrics need a device, installation and sometimes a door lock and wiring, so the starting cost is higher than QR. Each member also has to be enrolled. A card or PIN option helps for members whose fingerprints do not read well.
Side by side
- Setup: QR works without extra biometric hardware. Biometrics need a device and installation.
- Identity: QR identifies a code. Fingerprint and face identify the person.
- Door control: biometric devices can control the door directly, so expired members are kept out automatically.
- Speed at the desk: both are quick once members know how to use them.
- Records: in HamroFitness, both are saved in the same attendance list and reports.
Why many gyms use both
You do not have to choose one forever. A common path is to start with QR to replace the register, then add biometric devices and door access when the gym grows or when expired members walking in becomes a real problem. Some gyms keep QR running alongside biometrics as a backup or for busy hours.
Think about your members too. Some will be happy to use a fingerprint or face check-in, while others may prefer a card or a code. Offering more than one method means nobody is left waiting at the entrance, and front-desk staff do not have to step in every time a reader has trouble. What matters most is that every visit, however it is recorded, ends up against the right member.
Because HamroFitness records every check-in method in one place, switching or mixing methods does not split your data. Today's attendance, a member's visit history and date-range reports all include QR and biometric visits together. You can see how mixed check-in methods are handled in HamroFitness attendance tracking.
Questions to help you decide
- Is your main goal to replace the paper register, or to control who gets in?
- Can your staff see the entrance at all times?
- Do members keep training after their membership expires?
- How much do you want to spend on hardware right now?
- Do you plan to add door access in the future?
If controlling the door matters most, biometrics with door access control is the stronger choice. If you mainly want to stop writing names in a book, QR is a good place to start.
